Implement Zoho People, Recruit and Payroll with every category of employment instrument configured, automated and routed through Zoho Sign — making execution part of the system rather than a step that happens alongside it.
Rmphbr engaged Interloop for a full HR, recruitment and payroll implementation with an unusually substantial documentation requirement: six distinct employment instruments, each to be generated, routed and executed inside the platform rather than circulated separately. The engagement covered the complete employee lifecycle across two phases — core HR, the instrument set and performance management in the first, recruitment and payroll in the second — closing with admin enablement and documentation covering template governance.
Most implementations treat letters as a convenience feature: generate the appointment letter, save some typing. Here the instrument set was central to how the organisation structured its employment relationships, which made the design question a different one. A generated document and an executed agreement are not the same artefact. The gap between them is where a documentation process either holds together or quietly loosens — a document produced, sent, and then tracked through follow-up rather than through the system that produced it. With six instruments in regular use, keeping execution inside the platform was the difference between a document set that stays current and one that requires periodic reconstruction. The second design consideration was template governance. Six instruments maintained separately will, over time, accumulate variation. Holding a single controlled version of each inside the platform removes that drift by construction rather than by diligence.
Execution as part of the system: Generating a document and recording its execution are separate things. Keeping both inside the platform is what makes the document set self-maintaining.
Template governance across six instruments: Instruments maintained independently accumulate variation over time. A single controlled source per instrument removes that by construction.
Agreement timing at onboarding: Policy agreements executed as part of onboarding rather than after it align the document set with the start of the employment relationship.
Six legal review cycles: Automating a full instrument set requires counsel sign-off on each template, making legal review rather than configuration the critical path.
Retention and performance in one conversation: Retention instruments connect to appraisal outcomes, which made it preferable to deliver both in the same phase rather than across two.
A complete audit trail: Dispatch, receipt and execution recorded in one place rather than reconstructed from correspondence.
Interloop followed a structured, eight-step implementation across two delivery phases, with a sequencing decision specific to this scope: legal review rather than configuration was the critical path. The build was ordered to begin with the two most straightforward instruments, so the e-signature workflow pattern was proven and approved by counsel before the remaining instruments entered review.
Implementation Approach
This engagement established Interloop's capability in documentation-led implementations, where the HR platform carries the structure of the employment relationship rather than the administration around it. The design question is not whether documents can be produced — every platform produces documents — but whether execution, versioning and record sit in the same place.
A document that was generated is not yet a document that was signed.
| Aspect | Before | After (Interloop) |
|---|---|---|
| Document execution | Produced in one place, executed and tracked in another | Generated, routed and executed within a single workflow |
| Templates | Six instruments maintained independently | One controlled source per instrument, held in the platform |
| Policy agreements | Completed around the onboarding process | Executed as part of onboarding, through the same integration |
| Audit trail | Reconstructed from correspondence | Dispatch, receipt and execution recorded against the instrument |
| Retention and appraisal | Managed as separate processes | Delivered in one phase, operating as one conversation |
| Legal review | Six independent approval cycles | Pattern approved once, then applied across the set |

Before vs. After
Every employment instrument at Rmphbr is generated, routed and executed inside the platform against a single controlled template, with policy agreements completed as part of onboarding and a full execution record held against each document. For Interloop, the engagement demonstrated that in documentation-led organisations the HR platform is structural rather than administrative, and that the useful test of such an implementation is whether execution, versioning and record live in the same system.
